It is tough unless you have a set way of printing your tags (i.e. dept, description, color, pattern, size).
In my store if an item comes up to the register and it is a Junior's size medium tshirt in a gray floral pattern, it's likely I can find the exact item by typing in those variables using the abbreviations we use.
However, if the item is simply a blue Junior's size medium tshirt, it might be a little trickier as there will probably be at least a dozen in the store. In that case, I would send an employee to quickly check the rack floor area where such a shirt might be found. If no tag then I move to plan B.
I have created a consignor account that is has the first name Unknown and last name Consignor. Since pricing is standardized, I know exactly what the selling price would be for a blue Gap tshirt (or Ann Taylor, or Eddie Bauer, or Abercrombie, etc). I would ring the item up, entering it as a new item on the Make Sale screen, and attributing it to the Unknown Consignor account.
After the sale is finished and the shopper gone, I would print a list of all the blue tshirts in that size that are in the store. Then I (or an employee) would go thru the list while checking the racks and check off each shirt on the list as it is found on the racks. The shirt left on the list that cannot be found on the racks is the shirt we sold. From there, it's easy to transfer the balance for the shirt on the Unknown Consignor account to the correct consignor's account.
This way, I never lose a sale because the tag fell off. More often in these situations, the tag magically appears (the shopper finds it). Often, the shirt is a designer shirt that had a markdown but was still more expensive than a lesser brand without a markdown. Of course, if we're entering it as a new item it is being entered at the full price for that designer (minus the markdown). Suddenly, the shopper is very motivated to produce that tag that is marked down to $7 rather than pay the $13 full price.
Hope that helps!

This works really well, but you need to have a consistent way that all merchandise is entered. For example, every description on my tag begins with the brand of the item in capital letters. The class is what the item is. (ie: jean, tank top, jacket, etc) This way, when an item turns up without a tag, you can use the reports/inventory and find the item very quickly. I hope this helps. deb

We utilize the drop down menu for type and description fields with canned names NO exceptions. That means we are all entering the type and description the same, which makes it easier to find the item in inventory look up report. For example, all "handbags" are entered in as "purses/handbags" because that's the only option on the drop down menu. These descriptions are preset (by us owners) in Maintain Store/Maintain Lists

Hi Everyone, Thank you all for your responses. What I really need to know is after I enter my info in Inventory lookUp what button do I hit from there--I never seem to get a list or item ID pop up

Press "Print", you can either print to the screen or the printer

Ah, yes, that was confusing to me at first too. When you enter all the info and press "continue" it takes you back to the Primary Reports page. In the bottom rt corner of the screen then there's a little box with two options ("Output To", choose screen or printer) and two buttons (Menu, Print).
I like to choose Screen, which is the default, and then click Print. A pop up window will appear. If you have a lot of inventory it will take a few moments for the report to generate. If you see what you need when it finishes compiling you can print it out from there. If you don't see what you need, you can close report/pop up and go back in to enter more details (or less) until you get the list you need to figure out your missing item.

these answers are great, I also have a missing tag book, I put any tags I find, and when a item comes up without a tag i match it in the book first.

LOL Tessagirl...when I read your response, I was thinking, "When I find a missing tag the first thing I do is check the security cameras to see if something was stolen!"
Argh. Bummer, but fact of consignment/retail store life.
